Receptionist & Administrative Assistant
Langford Law is currently seeking a Receptionist & Administrative Assistant to join our Calgary office to provide administrative services in our reception and client areas, as well as administrative support to the firm. The ideal candidate will be organized, detail-oriented, and capable of handling a variety of responsibilities in a dynamic and collaborative environment.
Responsibilities:
The primary roles and responsibilities include:
- Greeting, welcoming and assisting visitors, clients, and vendors in a courteous and professional manner;
- Handling and directing incoming and outgoing mail, faxes, couriers, phone calls and general inquiries;
- Maintaining a tidy and welcoming reception area;
- Preparing for meetings, including boardroom bookings, catering arrangements, boardroom set-up & cleaning;
- File opening, organizing, and closing;
- Providing administrative and legal assistance to various departments as required;
- Diarizing and maintaining calendars;
- Completing data entry using multiple software systems;
- Managing office supplies and equipment, ensuring proper functioning;
- Supporting marketing and business development activities; and
- Performing other legal and administrative tasks assigned from time to time.
Skills and Abilities
- Excellent verbal and written communication in the English language;
- Exceptional attention to detail and accuracy;
- Highly organized, dependable and performance-oriented;
- Positive attitude and adaptability to progressive technology, training and process improvement;
- Proficiency in Microsoft Outlook, Word, Excel and Adobe Acrobat; and
- Willingness to train and learn systems for file and document management, communication and billing.
